Job Title: Executive Officer (EO)

Location: Dublin
Working Hours: Monday-Friday, 9am – 5pm (office based)
Salary: €34,023 (€18.69 per hour)

Role Purpose

The Executive Officer will provide high-quality administrative, coordination, and operational support within a busy office environment. The role involves managing workflows, supporting senior staff, maintaining accurate records, and ensuring the efficient delivery of day-to-day services.

The successful candidate will play a key role in supporting organisational objectives through effective administration, communication, and service delivery.

Key Responsibilities

Administrative & Operational Support

  • Provide comprehensive administrative support to the team/department
  • Manage correspondence including emails, phone calls, and written communication
  • Maintain accurate filing systems and ensure records are up to date
  • Prepare reports, documents, presentations, and meeting materials

Coordination & Service Delivery

  • Coordinate daily operational activities within the department
  • Support workflow management and ensure deadlines are met
  • Liaise with internal departments and external stakeholders
  • Assist in planning and organising meetings, schedules, and events

Data Management & Reporting

  • Input, update, and maintain databases and information systems
  • Extract and compile data for reports and audits
  • Ensure accuracy, confidentiality, and GDPR compliance at all times

Customer / Stakeholder Engagement

  • Deal with queries in a professional and timely manner
  • Provide clear information and guidance to service users or staff
  • Escalate issues where appropriate to senior management

General Duties

  • Work collaboratively as part of a team in a busy office environment
  • Provide support to senior staff and cover duties where required
  • Participate in training and continuous improvement initiatives
  • Undertake any additional duties as assigned by management

Essential Requirements

  • Experience working in an administrative or office-based role
  • Strong IT skills including Microsoft Office (Word, Excel, Outlook)
  • Excellent communication and interpersonal skills
  • Ability to prioritise workload and manage multiple tasks
  • High level of accuracy and attention to detail
  • Ability to work both independently and as part of a team

Desirable Requirements

  • Experience in public sector, education, or healthcare environment
  • Familiarity with data systems or reporting tools
  • Experience handling high-volume administrative work
  • Knowledge of GDPR and data protection principles
  • Experience supporting senior management or operational teams
